The Department of Biology educates undergraduate, and graduate students in the discipline of biology (degree and certificate programs), as well as prepares many of these students, as well as non-degree seeking students, for careers in biology and the allied health professions. The tenured/tenure-track faculty maintains state-of-the-field, externally funded research programs that involve undergraduate and graduate students. Teaching and research are coupled with service to the university, community, and profession.

This position exists to assure the achievement of the long- and short-term goals of the department by managing, organizing, and establishing work processes to deliver program services, managing and reporting on budgets related to department operations; representing the department chair in managing staff and student personnel operations within the department; creating long- and short-term strategic planning goals and related reports and documentation.

Program Assistant II What you will do:
  • Department Operations - 25%
    • Develop, disseminate, and implement policies to guide faculty, staff, and student employees in department processes.
    • Serve as work leader for office staff (explain work processes pertinent to their positions, clarify department and university policies, establish work standards, assist in identifying solutions to problems and provide training or assist employees to seek training outside of the department).
    • Lead staff meetings as needed. Inform chair of department and personnel issues and propose solutions to issues that affect department operations.
    • Develop short- and long-range plans for operational improvement to match projected department changes.
  • Personnel/Payroll Liaison - 50%
    • Analyze methods for obtaining personnel hiring information from Graduate Program Director, faculty advisors, staff, lab coordinators, and graduate students Figure out best methods to collect hiring data, communicate with CLAS HR about their hiring policies and determine best methods to communicate department hiring information to them.
    • Process contracts, calculate salaries and enter position information into HCM for graduate teaching and research assistants, graduate stipends.
    • Pay tuition each semester for graduate students.
    • Identify problem areas regarding hiring issues and devise solutions. with the Chair and Graduate Program Director.
    • Answer questions and provide advice to faculty members and hires regarding university policies/procedures and department guidelines (student retirement, graduate payroll processes, semester hiring deadlines, access to training).
    • Disseminate university training policies and create forms for supervising faculty and employees to ensure mandatory employee training is communicated.
  • Develop and Manage Department Budgets - 25%
    • Analyze and project budget priorities based on department programmatic costs and outcomes information. Based on information collected, and department objectives defined by the chair, set the departmental operating budget each year.
    • Track and manage additional department budgets (Instruction, ICR, Gift Fund, Computer Replacement and CU Succeed).
    • Identify budget problem areas and work with CLAS accountant to transfer and reallocate funds to correct errors.
    • Analyze budget information and create and distribute monthly budget reports to faculty and staff.
    • Provide monthly budget report to faculty and staff.
    • Advise faculty and staff on requirements in maintenance and compliance of accounting and budgeting processes and refer them to CLAS Finance if needed.
Compensation and Benefits (Required by Rule)

The salary range (or hiring range) for this position has been established at $56,028 - $64,440.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is exempt/non-exempt and is/is not eligible for overtime compensation.
