Position Summary

Presents a positive image to all donors, patients, and visitors and provides assistance to donors during the registration and interview process. Provides excellent customer service to donors, patients and visitors. Acts as back up to receptionist. Directs donors, patients, visitors and vendors to appropriate associates. Provides administrative/clerical support for Indiana Blood Center Managers, Directors and Executive Staff as needed. The incumbent spends 70% of time greeting donors and visitors and answering the switchboard; 30% of time performing administrative/clerical duties as assigned.

Schedule: Monday-Friday 12:30pm-5:30pm

Pay: $17/hour

Responsibilities
    Ensures that donors and visitors to Main Branch feel welcomed by providing them with excellent customer service.
  • Verifies the donor's identification, prints/provides appropriate Donor Registration Form, instructs donor to review educational materials and complete form, and directs donors to interview booth.
  • Maintains confidentiality of donor information.
  • Generates reports and responds to donor requests.
  • Answers both internal and external incoming telephone lines.
  • Provides administrative support for BC management and other administrative staff as assigned.
  • Maintains and distributes incoming/outgoing mail/packages.
  • Adheres to, including but not limited to, IBC, DOT, Indiana Driver's Manual, AABB, FDA, CLIA, ISDH, and EMEM policies and procedures, as applicable.
  • Maintains knowledge of and observes all regulatory requirements and practices, including FDA current Good Manufacturing Practices and Good Tissue Practices, as applicable.
  • Complies with all IBC safety policies and procedures. This includes those for severe weather.
  • Follows universal precautions and protective measures required by IBC and outside regulatory agencies. Incumbent may be exposed to blood or body fluids or be in areas which contain these items.

Qualifications

Education

  • High School Diploma or GED. required

Experience

  • 1-3 years administrative/clerical experience required

Knowledge, Skills and Abilities

  • Must be computer literate to accomplish functions of the job and to access/use company communications.
  • Must have pleasant telephone voice and demeanor and a professional appearance.
  • Ability to communicate to the public and co-workers in a professional manner.
  • Must be able to manage multiple priorities in a fast-paced environment. Willing to be flexible with work schedule.
