Associate Accountant - Fiscal Services

Behavioral Health Services

Hourly Range: $19.49 - $29.24/hr

Job Summary

Under the direction of the Accounting Manager, the Associate Accountant provides fiscal support to all the DHHS fiscal services. This position will handle an assortment of financial activities which include the processing of procurement, vendor invoices, contract payments, journal entries both monthly and at year-end closing. This position will also assist in the monitoring of our various federal and state grant reporting, spending and assist with the annual single audits as well as assist with processing of yearly audit confirmations to our various providers auditing firms.

Job Responsibilities

  • Process Invoices - Process invoices and purchasing requests in the INFOR system. Monitor approval process of invoices processed and troubleshoot any errors in the purchasing request. Enter new vendor requests in the INFOR system and attach the W9 (as necessary) if vendor is not currently in the payable system. Monitor invoices that have been processed and paid.
  • Processing Contract Payments - Create a check request to request that a payment be processed against a specific contract that is within the INFOR system. Keep track of the contract amount that has been awarded, payments applied and remaining balance of each contract that has been assigned for processing under each grant.
  • Processing Monthly & Year End Journal Entries - Journal entries are necessary to properly record expenditures or revenues in the proper accounts in the various divisions within the department. An entry is made in our financial reporting system INFOR. Entries can include allocations, cross charges, corrections, and accruals at year-end closing.
  • Grant Monitoring & Reporting - Assist Senior Accountants with gathering the various expenses that need to be reported on the various federal and state grant awards. Assist with entering this data on various spreadsheets (Smartsheet) to ensure that all the expenses for each grant have been properly reported.
  • Audit Confirmations and Single Audits - Assist the Senior Accountants with gathering data for the single audits that are required for all federal and state funding received by Milwaukee County. Also, assist with the processing of the various audit confirmations requests that are received from outside auditors.
  • Assist with travel expenditures and charge card purchases in the INFOR XM system.
  • Perform other duties as assigned.

Required Education, License/Certification and Experience

  • Current residency within the State of Wisconsin required
  • Associate degree or higher in Accounting, Finance or closely related field required
  • One (1) year or more of work experience in accounting and auditing is required
  • Advanced knowledge of all related computer and software applications such as Microsoft Word, Outlook and Excel required
  • Ability to lift, carry, push, and pull up to 20 lbs.
