Directs and coaches the activities of assigned personnel to ensure all customer service levels and deliverables pertaining to the HCP programming of the assigned account is achieved. Provides comprehensive leadership to clients, overseeing sourcing, planning, compliance, and reconciliation of programs, providing client and team support and training, and managing special projects. Role will initially be heavily involved in creating and refining efficient processes to integrate into client's systems.

Scope

Direct Reports and Budget Responsibility

Number of Direct Reports: Manages 4 to 20 exempt and non-exempt employees who support registration, sourcing, housing, contracting, planning, hosting and budget development for dedicated accounts.

Budgetary Responsibility: No

Level of Responsibility

Works under general supervision or direction (employee consults with manager regarding unusual situations)

Reporting and Working Relationships

Title of Manager: Reports to Director, Operations.

Title of Direct Reports: Direct reports may including Sourcing Managers, Senior Sourcing Managers, Meeting Coordinators, Meeting Event Housing Specialists, Meeting Event Managers, Meeting Managers, Project Account Managers

Title of Peers: Operations Manager

Internal and External Contacts: Working relationships with Guest Services, Creative, Web Producers, Supplier Relations, Accounting, Sales, Event Operations, clients and third party suppliers.

Primary Responsibilities

Interviews and selects direct reports. Encourage the sharing of best practices, industry trends, ideas, and special educational opportunities. Leads team meetings with direct reports to discuss volume, productivity, customer deliverables, process, and service levels. Approves and presents salary recommendations to Director. Serves as a mentor in the areas of forecasting, costing and budgeting, and reviews team members' program budgets. Reviews, tracks and/or approves vacation time, expense reports, payroll, time and other employee systems for direct reports. Act as subject matter expert (SME) to ensure consistency and training for all, using best practice approach, experience and knowledge.

Participates in client meetings, presentations and quarterly/annual business reviews to explain operational processes, review contractual statistics and workload, and resolve challenges.Communicates customer inquiries to Director which have the potential to escalate. Communicates leads and assist with costing, proposals, letters of agreement, and deliverables on renewal business for the account. Maintains proactive, positive, open line of communication with client to ensure understanding of expectations and client satisfaction.

Strategizes with Director to analyze, forecast, implement and manage financial and operational measures to track results and ensure operational profitability.Audits files of other employees' events.Oversees documentation of negotiated savings by client.Reviews contracts to ensure terms and conditions are accurate and legally protective of the client, including attrition dates, cancellation policies and addendum usage.Identifies, develops, and ensures implementation of SOP's and standard practices and process improvements.Ensures that customer satisfaction via client survey and Benchmarks results are analyzed and communicated for the purpose of developing direct reports and ensuring and improving client satisfaction. Develops service recovery plans, ensures the plans are implemented, and improvement goals are achieved or exceeded. Provides back-up support for Director, as necessary.

Qualifications

1. Bachelor degree or equivalent experience required. 2+ years proven supervisory and/or leadership experience preferred. Minimum of 7-10 years of experience in project, event or meeting management/procurement.

2. Domestic and international destination knowledge.

3. Proven ability to promote change and efficiencies within an organization.

4. Professional oral and written presentation skills.

5. Proven ability to understand and suggest technology solutions for business stakeholders and employee efficiencies.

6. Prior successful experience in developing, managing, and maintaining key client and supplier relationships and in developing cost sheets and implementing costing strategies.

7. Strong knowledge of program/event management and budget maintenance, and proven aptitude for technology and/or software solutions and analytic skills.

8. Ability to travel 25% of time and co-locate on client's campus in East Hanover, NJ (flexible).
