Responsible for reviewing final billing documentation to assure budget and billing accuracy, while ensuring we meet clients' SLAs, update all quality control metrics, as well as follow HCP compliance guidelines and reporting within client systems.

Reporting and Working Relationships

Title of Manager: Reports to Operations Manager, HCP Programming.

Title of Direct Reports: N/A

Title of Peers:

Internal and External Contacts: Will work directly with client's Associate Director, HCP Programming. Works with Meeting Event Managers, Project Accountants and may interact with Guest Services regarding air travel, suppliers/vendors, client and Health Care Providers (HCPs Interacts with HCPs for issues related to missing data, expense reports and honoraria payment questions and support on an as needed basis

Primary Responsibilities

Processes and monitors HCP (Healthcare Provider attendees) expense and honoraria payments and is primary contact for Client and HCPs post program. Generates aggregate spend and quality control reports and is responsible for resolution of missing data and compliance guidelines issues. Processes, maintains, and enhances Standard Operating Procedures (SOP) for the HCP payments and final billing process. Maintains data in client's instance of Cvent and other tracking platforms. Ensure Meeting Event Managers are inputting proper Contract Information into Cvent and client platforms in a timely manner. Confirm websites for HCP meetings are compliant and maintains updates on templates. Manages HCP Documentation Templates, such as Sign in Sheets, Expense Form, Deviation Grids and other meeting materials.

OTHER: Works on special projects as assigned by Manager. Audits all final billing documentation to assure budget and billing accuracy and work with client on any outstanding items. Maintains data in clients instance of Cvent and HCP tracking software including Contracting, SLAs, Custom Fields.

Qualifications

1. College degree or prior event coordination experience required. Hospitality, finance, or mathematics related degree a plus.

2. Ability to manage multiple projects simultaneously

3. Strong interpersonal, communication and customer service skills

4. Extensive knowledge of Microsoft Office tools and the ability to learn new technology quickly

5. Ability to analyze and manipulate data and create custom reports

6. Proven organizational skills.

7. Strong Cvent Skills
