Position Summary
This position is responsible for the business operations and financial management for a variety of departments including, but not limited to: OB/Gyn, Pediatrics, Pathology, Surgery, Medical Education, Student Affairs, Psychiatry, and Dean's Office, Health System Research, Medicine, MERIT, Media, Marketing, Public Relations, and Advancement.

Duties & Responsibilities

  • Assembles data and reconciles all account types (state, revolving, grants, ICR, etc.) for each respective department. Prepares monthly and quarterly financial reports for the director of finance, the regional dean, and unit department heads.
  • Prepares and monitors unit budgets. Exercises control and reviews expenditures over departmental accounts.
  • Maintains, processes and reconciles accounting and banking transactions within various university systems including general accounts receivable (GAR), P-Card, T-Card, and iBuy.
  • Participates in quarterly meetings with respective department heads regarding budgetary performance and variances.
  • Prepares financial reports for grants and external funding agencies and compiles budget information for grant applications.
  • Assists the development office with gift and student scholarship contribution data analysis.
  • Calculates and processes variable compensation payments for faculty for both clinical and teaching work.
  • Assembles data for financial auditing from both internal and external auditors.
  • Reviews and recommend appropriate operation procedures with regards to departmental expenditures such as P-Card use, invoice vouchers, and performance agreements. May work in conjunction with Purchasing on the procurement of specialized departmental equipment.
  • Provides back up for payroll processing for the Rockford campus.
  • Other related duties as assigned.


  • Qualifications:

    Minimum Qualifications

      1. Bachelor's degree in accountancy, business administration, management, or a closely related field.

      2. OR

      3. Three (3) years (36 months) of work experience in accounting, business administration, fiscal management, or closely related experience.

      4. OR

      5. A combination of such education and/or work experience totaling three (3) years (36 months), as measured by the following conversion table or its proportional equivalent:
        • 30 semester hours equals one (1) year (12 months)
        • 60 semester hours or an Associate's Degree equals eighteen months (18 months)
        • 90 semester hours equals two (2) years (24 months)
