The Office for Institutional Equity and Diversity (OIED) is committed to fostering an inclusive, accessible, and diverse intellectual and cultural campus experience related to the mission of North Carolina State University (NC State). The EOE is responsible for managing and monitoring the university's equal opportunity compliance activities. The EOE oversees university equal opportunity policies, responds to complaints, conducts investigations, develops and delivers training and educational outreach to campus, as well as provides consultation to supervisors and managers regarding equal opportunity concerns and initiatives.
Essential Job Duties
The Equal Opportunity and Equity Program Coordinator works closely with the staff of the Equal Opportunity and Equity unit of the Office for Institutional Equity and Diversity. This position reports to the Associate Vice Provost for Equal Opportunity and Equity unit.

As the designated point of contact for our Equal Opportunity Equity Unit, you will serve as a bridge between our team and both internal and external stakeholders. You will work closely with all of the assistant equal opportunity officers to manage complaint processing, tracking of training associated with compliance activities, and coordination of equal opportunity outreach activities to ensure the university meets and exceeds its federal and state compliance programming requirements. Equally important is your responsibility for maintaining confidentiality in handling sensitive information and cases, safeguarding the trust and integrity of our operations.

Your key responsibilities will include but are not limited to the following:

Administrative Support:
  • Maintains the schedule and calendar of the associate vice provost; plan and schedule meetings, conferences, teleconferences and travel.
  • Serves as first point of contact on behalf of the associate vice provost, responding as appropriate on their behalf.
  • Handles requests and inquiries appropriately; handles triage cases appropriately.
  • Arranges and schedules meetings for committees managed by the EOE unit and staff. Provides other administrative functions as required (e.g., copying, assembling materials, tracking correspondence, etc.).
  • Serves as Responsible Employees and Clery Act compliance coordinator for OIED.
  • Drafts, mails, organizes, and files complaint documents.
  • Writes and modifies Standard Operating Procedures for office management.

Reporting and Case Management:
  • Manages the EOE case management database.
  • Coordinates and constructs correspondence for investigation reports, protocol, and other correspondence as needed.
  • Manages confidential compliance files, including organizing a file management system, opening/closing/updating files as appropriate and conducting case management audits.
  • Maintains databases for case management, university-wide employee and student compliance training records, and unit equal opportunity plans.
  • Drafts, mails, organizes, and files complaint documents.
  • Engage in efficient and accurate documentation, reporting, and case management.

Other Responsibilities
  • May serve as a trainer for introductory workshops and courses.
  • Perform departmental projects as assigned.
  • Provides other administrative functions as required (e.g., copying, assembling materials, tracking correspondence, etc.).
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Performs other duties as assigned.
Qualifications

Minimum Experience/Education
Bachelor's degree and one year of experience related to the area of assignment; or equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.
Other Required Qualifications
  • Communicate knowledgeably, courteously, and effectively with the campus community and external regulatory agencies
  • Have excellent interpersonal skills with a diverse population, including experience interacting and responding to the public
  • Proficiency with office equipment and knowledge and experience with word processing, spreadsheets, file sharing programs, including queries of database records
  • General knowledge of web design principles and experience working with online page builder programs
  • Experience designing and maintaining websites and utilizing other social media venues
  • Experience organizing and maintaining filing systems
  • Ability to plan, prioritize and work independently
  • Strict attention to detail
  • Interpret information and communicate it effectively to various audiences in both written and oral forms
  • Organize, monitor, and prioritize daily activities
  • Function successfully in high pressure situations, and the ability to de-escalate high intensity interactions
  • Multitask, be a team player, and assist with any job or task to ensure that all office responsibilities are handled promptly and efficiently in order for the office to operate smoothly
  • Strict adherence to confidentiality

Preferred Qualifications
  • Equal opportunity-related training/education.
  • One year of progressive office administrative support functions. Experience coordinating meetings including scheduling rooms and/or virtual spaces, meeting set-up including media equipment, compiling meeting materials, purchasing food and supplies for the office
  • Proficient in Microsoft office programs, Google business programs (such as docs, spreadsheets, conference features, file sharing apps, etc.), and WordPress
